Under the general direction of the Director of Human Resources, the Corporate Human Resources Specialist performs a wide variety of administrative, system/analytical and project management duties for the Human Resources department. Works closely with CHRO, Sr. Director of DEI, Graham Holdings Co HR Department and Station HR Admins and Business Managers, ensuring smooth execution of HR operations, as well as DEI employees and external outreach programs. Helps cultivate a culture of excellence and a collaborative work environment.
Human ressources: Ensure that the current version of GMG policies and procedures, employment models and benefits and training materials are posted on GHConnect (internal HR portal). Provide configuration support with vendors and training to HR administrators as needed. Serves as a resource for general questions and ad hoc analyses. Handles basic employee relations issues.
HRIS/Systems Administration: Serve as a corporate HRIS resource and support; ensure system integrity; work on JIRA tickets if necessary. Test system changes for implementation deployment. Maintain job profiles. Capture job changes and conduct onboarding/orientation of new hires, ensuring onboarding tasks are completed in a timely manner. Responsible for record keeping, maintaining personnel records and creating reports. Complete employment verifications. Serve as system administrator for DEI systems (e.g. Strategy Lighthouse, Blue Ocean Brain and DEI Calendar). Support system training of HR administrators and internal business partners as needed. Solve problems.
Recruitment: Support corporate branding strategies with attention to DEI corporate strategic priorities. Assist in managing candidate marketing strategies and tasks for recruitment search efforts in conjunction with the HR team and hiring managers as needed. Create and track vacancy seniority and supply report, and update the supply list. Provide interview/candidate search and hiring support, including but not limited to:
Maintain current job descriptions. Create job applications and postings.
Publish openings on the website and via B1S; publish on job sites, where appropriate, ensuring diversity of sources of supply. Maintain supplier relationships with LinkedIn, iHire, BCL, EBF Monday, etc. to ensure the proper functioning of the awareness-raising process; manage invoices.
Plan and manage outreach – job fairs/career days, etc. Administer the handshake.
Schedule interviews, if necessary.
Manage B1S administration, upload candidate logs/resumes, ensure FCC compliance – provide review of EEO/FCC reports on website; solve problems.
Internship program administration – ensuring candidate requirements, serving as HR point of contact for partnerships (e.g. Emma Bowen Program and NAB Technical Apprenticeship Program), others.
Maintain current employment patterns; create GMG Corp offer letters with applicable verbiage, benefits and incentive plans, if any, and monitor them via payroll.
Conduct pre-employment background checks and drug testing and monitoring. Corporate liaison with Asurint, problem solving.
New hire onboarding/orientation – create employee file/record, collect I-9 data, secure various IT/building access, walk through policies/procedures, programs, systems (i.e. GHConnect, Workday) , assign/monitor training; ensure that acknowledgments are complete/followed up.
Administration of benefits: Help employees navigate benefits programs; serve as an internal resource for questions about benefits and liaise with additional resources, such as GHConnect, askBenefits, GH Retirement Center, HealthAdvocate, EAP, Vanguard, The Hartford, Liberty Mutual, PayFlex and other providers:
GMG Corp contact for employee health and wellness/insurance programs, HCSA/DCSA, retirement/pension programs, 401K program.
Create and/or provide communication and presentation materials for open enrollment benefits; ensure registration is completed within 30 days of hire/life event; schedules and develops corporate meetings for annual open enrollment. Lead for all stations. Runs reports and verifies data; solves problems.
Manage FMLA or other Corp employee leave programs and resourcing to other stations (salary continuation, LTD, jury, bereavement, parental).
Administer Workman’s Comp/OSHA; administer the tuition reimbursement program.
Analysis and follow-up, creation/distribution of reports, monitoring of planned compensation review programs to ensure their completion. Perform salary analysis as needed.
Performance Management: Work with leaders to ensure that annual performance reviews are completed in a timely manner. Respond to employee inquiries about the process.
Coaching: Assign and monitor the completion of compliance training programs, as well as elective training and development programs; Cornerstone Resource/Admin, runs compliance reports and resolves issues. LinkedIn Learning, Blue Ocean Brain, other resource/administrator. Provide specific HR and payroll training to HR team and users as required.
Terminations: Ensure documentation is in order, prepare and deliver, as required, Corporate Separation Record/release and exit material; conduct company employee exit interviews.
DEI: Provide general programmatic assistance, including DCI outreach and support for ERG program sessions. DEI Scorecard support, including data analysis and business practice-specific reports that support enterprise DEI strategy. Participate in corporate responsibility events, such as organizing community service days and recognition events. Maintain internal communication/intranet (DEI) content updates.
Project management: Coordinate/lead designated special projects and implement program initiatives as required. Program initiatives may include, but are not limited to: management of corporate and individual award nominations, materials and events. Carrying out audits, salary analyzes and surveys; search for suppliers and pilots. Create and administer surveys, including employee engagement surveys (tracking and completion tracking), via Microsoft Forms and Survey Monkey. Administer disaster emergency fund programs and the GMG Service Anniversary rewards program.
General administration (corporate office): Performs a wide variety of administrative tasks quickly.
Responsible for proactively managing/coordinating company event and activity schedules/calendars, contacts and meetings (internal and external) as required.
Support event management, including virtual events, as needed.
Provides administrative support to the team, including renewing corporate memberships and subscriptions, managing mailing lists, coordinating travel arrangements, and consolidating and submitting expenses as needed.
Bachelor’s degree preferred.
5+ years of Human Resources experience, focused on benefits and/or recruitment. DEI program experience is a plus. PHR or SHRM-CP a plus.
Advanced technical skills and in-depth knowledge of all MS Office programs including Outlook, Word, PowerPoint and Excel including Pivot Tables; Workday or other essential HRMS and Teams.
Skill in managing virtual meeting platforms (e.g. Zoom, WebEx, Teams) an asset.
Excellent communication skills (written and oral); strong organizational and analytical skills.
Good judgment, attention to detail, strong organizational skills, thorough follow-up skills and absolute discretion required.
