How to use the content calendar template in Notion

How to get the content calendar template in Notion

The content calendar template is built directly into Notion. Simply create a new page by selecting the New page option in the lower left corner. From there you select Models in the list of options, open the Marketing toggle in the sidebar and choose Content Calendar.

The template will then load into your page with sample content and the basic properties you’ll need for the planning, creating, editing, and publishing stages of your content.

How to use the content calendar template in Notion

Notion did a lot of the hard work for you when creating this template. When you open the sample card, you will see that it already has several useful properties such as status, link, type, medium, as well as deadline and publication dates. You can quickly change the status of a card by dragging it to the desired status group, or in the card by clicking on the field next to the property and selecting the one you want.

How to Use Default Properties in Notion’s Content Calendar

the link property is where you would paste the most relevant link to your project. If it’s in progress, it might be a link to the draft in an editor or word processor like Google Docs. If it’s already published, this might be the link you can use to find it yourself or share it with others.

With the media property, you can get creative. You may not know what header image or thumbnail you are going to use for your content until it is complete, so you can put an image that best represents the project, mood, topic or whatever you want.

Something to note about the media field is that the map preview is set to show whatever file you place there. If you want to change this, so that it displays your card’s cover image or some other element instead, you can do so in the Properties tab at the top of your page.

How to Add Custom Groups to Notion’s Content Calendar

To add a custom group to your content calendar, scroll right where you can find the Add button. When you click on it, a field will appear where you can enter the name.

Once the name is entered, click on Finished, and your new group will appear. To change its color, select the three dots to the right of the title and select the one you want.

You can also change the name of current ideas if you want to use something other than the default, current, in review, and published idea. All you have to do is click on the title and the option will appear.

The default statuses will certainly do the job. However, a few examples of other status examples to reflect the different stages of content production are research, ready for publication, review, and pending.

If you have a production stage where you need to add other media, such as images, to a blog post, you can include a status that reflects that. Additionally, you can include a social media promotion status to remind you to do so after posting.

How to Add Custom Properties to Notion’s Content Calendar

There are two ways to add properties in Notion. One is directly on the page once you’ve clicked on a map – you’ll find the option at the bottom of the current range of properties.

The other is to click on the Properties tab at the top of your calendar. Here you can also switch between the properties you want to display on your maps.

After selecting Add property choose the type you want to add and give it a name. Notion has a variety of useful properties, so you can focus on project specifications. To help you get started, here are some more examples:

  • A to select menu where you can indicate the priority of a project – low, medium, high
  • A to select menu where you include the name of the client or project the content is for
  • A multiple selection menu where you can view where content is intended to go
  • A created by field that will display the name of the person who created the map if there are any questions
  • A last edited by field that shows you who has previously made changes to information

How you can view your content calendar like a real calendar

Taking a look at your content using the calendar view in Notion can help you visualize your plan. To do this, go to the upper left corner of the page under the title and click on the By status display option. A drop-down menu will appear where you can select Deadline calendar.

This will change your view to the current month’s calendar. Here you will see your cards under their assigned timeframes. You can also click on it to open the pages and get more details right in the calendar.
